For Employees

The social security number = pension insurance number is given to you by the German Pension Insurance or your health insurance fund. It always has the same structure: _ _ DDMMYYX _ _

DDMMYY = your date of birth

X = first letter of your last name (maiden name)

The tax ID is a tax identification number that is assigned to you once and is valid for life. For some time now, newborns have already been receiving a corresponding letter from the Federal Central Tax Office.

If you are neither married nor have children, then you have tax class I or VI.

You have tax class I if this is your main activity (studying is not an activity subject to wage tax).

Tax class VI you have if you work for another employer with one of the tax classes I to V.

Married people have either both tax class IV (with or without factor procedure) or, upon application, III or V respectively.

Single parents with children have tax class II.

Denomination means your religious affiliation e.g. Catholic, Protestant, Jewish, Muslim etc.

Hilfskräfte are required to document and sign their work hours on a timesheet each week, even if no work was performed.

Assistance with documentation is provided by the hours tool, which is sent out before the start of the semester and which generates timesheets during the semester in accordance with the contract. Assistants then only need to sign the cover sheet at the end of the semester and submit the timesheets to the Human Resources Office.

The timesheets can be submitted digitally at the end of the semester to the Human Resources Office at the following address: stundenzettel@math.tu-darmstadt.de.

For Student Teaching Assistants (Hilfskräfte)

You must hand in your complete employment documents to the personnel office no later than five weeks before starting work, otherwise the contract cannot be drawn up in time.

Send these documents by e-mail to: personal@math.tu-darmstadt.de, a paper submission is not necessary.

If you are missing documents (certificate of study, residence permit) for completeness, you can submit them up to one week before the start of the contract.

Once you have submitted your documents in full, you will receive your contract from the personnel office by mail as well as the deadlines for returning it – please adhere to these.

You may not work for us without a signed employment contract. If you have not received mail by two weeks before the start of your employment contract, please contact the personnel office.

If you do not take a teaching assignment, you will receive the lower rate of pay even if you are reassigned, unless it is a top-up to a teaching contract.

You are entitled to get vacation according to the number of hours worked. You can find more detailed information on the calculation on the pages Dezernat VII.

As an tutor the vacation entitlement is compensated financially in order to prevent absences during the semester.

No, that would be illegal.

It is possible to work via Zoom but only in Germany.

For academic and non-academic staff

Yes. We usually send a confirmation within a couple of working days. If a week passes without us mailing you, please get in touch with us.

The number of exercise instructors* can be found in the assistant schedule for the coming semester, after which central applications will be forwarded. There is also the possibility to hire assistants, who relieve with a certain extent the correction of the own exercise group, but do not take over an exercise.

First, there is central application portal through which applications are forwarded to you. Please be sure to let Tina Rudolph know if your positions are all filled or if you are not hiring someone so that the applicant:s can be returned to the central pool. Also, please let us know early if you still have many open positions.

You should also explore other ways to recruit exercise instructors:in. You can:

  • It is best to alert your students to the beginning of the recruitment period. You can approach good students directly or through the supervisors.
  • Contact the instructors who have already supervised the course via the previous assistant instructors and ask your own instructors if they will continue.
  • Advertise in forums of previous courses (e.g. Forum der Informatiker). Especially helpful to reach students from other departments or for advanced courses.

The documents must be submitted to the personnel office at least six weeks before the start of work. The regular start date is the 1st of the month. Hiring on the 15th is to be avoided.

To do so, you must submit the completed Beantragung der Hilfskräfte and advise your auxiliary of the documents to be submitted (see What documents do I have to bring to the personnel office if I'm going to be a tutor?).

Please book your travel by train only via the TU Darmstadt customer portal. Hier you can register.

Courses are offered on a regular basis to qualify as a first aider. Simply consult the Kurskatalog. for more information. The department is very happy about all new first aiders!

Please notify your supervisor immediately if you are pregnant, as you will then enjoy special employment protection.

If you are not an employee of the Dean's Office, you are bound to fixed working hours.

If you are unable to appear on time due to illness, you must report this to your supervisor immediately.

If you are unable to work for more than three calendar days, you must submit a doctor's certificate confirming your incapacity for work, stating the expected duration of the incapacity for work, to the office no later than the general working day following the third calendar day, i.e. no later than the 4th day (weekends and days off count towards this and are included in the calculation if they are included in days of incapacity for work).

If you are employed full-time, you are entitled to 30 days of vacation. In the case of part-time employment, it is calculated on a pro rata basis, depending on the number of working days per week.
